If you've recently received an email from HubSpot with the subject line "Action Needed: Enriched data delete requests pending," don't worry. It's part of HubSpot's privacy and compliance process. But, it's important to understand what this means for your contacts and how you can take action.

What's Happening?

This notification indicates that a contact has requested the removal of the data enriched by HubSpot's intelligence tools. HubSpot’s enrichment tools automatically enhance your contact records with additional information such as job title, company size, industry, and more. If a contact opts out of this enrichment, HubSpot needs to remove the enriched data linked to that contact, but it does not require deleting the entire contact record.

Why Does It Matter?

When you receive this notification, it means that one of your contacts has exercised their right to privacy and opted out of receiving enriched data. This is part of your compliance with privacy regulations like GDPR, ensuring that your contact data remains accurate and respects the choices of the individuals you are engaging with.

What Should You Do?

As a Super Admin or an assigned user with the proper permissions, you need to go into HubSpot's Settings > Privacy & Consent > Data Request Manager to review and handle the request. Here, you’ll find a list of contacts who have requested the removal of enriched data, and your job is to confirm the deletion of that data for those contacts.

Streamlining the Process: Automate the Deletion

If you want to avoid handling these requests manually every time, you can set up automation. HubSpot allows you to toggle on the setting for "Delete enriched data when request is received" in your Privacy & Consent settings. This ensures that HubSpot automatically removes enriched data as soon as the request is made, saving you time and effort.

The Impact: What Happens After Confirmation?

Once you confirm the deletion, HubSpot will remove the enriched information associated with that contact. This includes details such as job title, company size, industry, etc. The contact’s basic record remains intact, but any additional enriched data will no longer be available.

What Are Your Alternatives?

While HubSpot generally removes the enriched data upon request to stay compliant with privacy laws, you may choose to retain that data in some cases. If you have a legitimate legal basis for keeping the data (for example, if it's critical to your operations or in line with your privacy policy), you may decide not to comply with the request. However, in most cases, following these opt-out requests is the right approach to ensure you stay compliant.
